Responsibilities:

The Student Accounts Representative will provide administrative, accounting and customer service support for the Brandman University Student Accounts and Collections office in Irvine. Provide training and student accounts support for Ameritas students at distributed Brandman campus locations. Assist in the development of policies and procedures to manage student accounts and collections. Perform processing functions at central office for campus locations as necessary.

POSITION DUTIES AND RESPONSIBILITIES:  

Essential functions: 100% of time

  • Assists Campus Directors and One Stop staff in the identification and resolution of student account issues to ensure that accounts are appropriately maintained, accurate and collectible through research and analysis of student account history.
  • Assist Brandman Admissions, Financial Aid and One Stop staff with questions pertaining to student account billing, financial aid and refunds.
  • Perform collections functions for Ameritas student accounts, including analysis, reporting and collection calls and letters.
  • Manages payment plans for Ameritas
  • Ensures that all Federal (and Brandman University) requirements are met for successful and timely Military Tuition Assistance billing through the various Federal methods.
  • Review and resolve accounting discrepancies to ensure month end statements are processed correctly.
  • Train and monitor Brandman central office and campus staff on Student Accounts policies, procedures and transaction processing.
  • Assist in the development of departmental policies and procedures and both student and staff training materials.
  • Prepare clear and concise communications to be sent via a variety of channels to staff and students to ensure understanding of customer account issues.
  • Provide assistance to Brandman Student Accounts, Cashiering, Collections and One Stop staff as needed during peak times.
  • Verify and post account adjustment batches.
  • Process student account refund requests through student system.
  • Request stop payments on student refund checks as needed.
  • Participate in the implementation and maintenance of the Banner student system.
  • Perform special projects as requested.

Job duties are subject to change as Student Accounts systems are transitioned from Datatel to Banner.

Qualifications:

Successful completion of the background check and credit check.

Special Conditions of Employment: 

  • Must be bi-lingual – Spanish/English. May require work hours outside of standard business hours and occasional overtime, especially during peak periods. Will require occasional travel to Brandman University campuses.
Previous Experience:
  • 5+ years of experience in accounts receivable or equivalent experience.

Desired Qualifications:

  • Working knowledge of accounts receivable in a University setting.  Demonstrated ability to use this knowledge clearly and concisely to solve routine, extraordinary and complex issues and problems.
  • Clear and concise oral and written communication skills, problem solving skills, and demonstrated ability to handle adverse situations with tact and diplomacy.
  • Excellent customer service, organizational skills and technical skills to multitask and work under deadlines.
  • Knowledge of state and federal accounts receivable and financial aid programs.
  • Strong team player with ability to work in diverse environment.
  • Proven experience in concisely gathering and analyzing data, making effective recommendations regarding student accounts issues to management.
  • Demonstrated ability to work independently, take initiative while maintaining the highest level of confidentiality.

Knowledge and Education:  Bachelor’s degree in accounting or related field or equivalent work experience.

Machines, Tools, Equipment, Electronic Devices and Software:  Ability to use standard office equipment, including PC, phone, copier, scanner fax and calculator.  Computer skills in the use of Microsoft Office including, but not limited to, Word, Outlook and Excel.
