Responsibilities:

Brandman University, Irvine Campus, is accepting applications for an Online One Stop Student Services Specialist. This position will provide students and staff - via online, phone or in-person response - one-stop quality service and information related to processes and policies in all areas of student and enrollment services, including admissions, financing your education, financial aid, registration, articulation, academic program evaluation transcript processing, degree conferral, student accounts and other student support services. Provides pro-active on-the-spot problem solving as well as necessary follow-up on problem resolution; serves as an easy, accessible, credible official resource for information related to university policies and processes. Authorized to maintain, adjust, and make exceptions to student records based upon professional judgment and individual discretion. Assists in the creation, coordination, referral, and delivery of student service/resource programs as assigned; works in liaison with other divisions in the referral/delivery of student resource programs; performs other duties of Student Services as assigned.

TYPE OF SUPERVISION RECEIVED: General direction from the Assistant Vice Chancellor.  While incumbent will provide information and make decisions, incumbent will conduct business using reflected authority following established policies and procedures.
 
POSITION DUTIES AND RESPONSIBILITIES:  
 Essential functions:  100% of time
  • Email, chat, and telephone response and providing solutions where empowered to queries& issues raised by students, faculty or staff, specifically related to financial aid, business services, registration, degree audit/program evaluation, articulation, academic policy and procedures, petition processes, graduation/degree conferral, transcripting,user name/password processes, and other records related questions
  • Escalation of issues raised by student to content expert for resolution
  • Liaison with campus personnel related to Student Service projects, policies, and procedures
  • Participate in weekly pipeline meetings related to recruitment & retention of students
  • Prepare and deliver in-person or web based presentations on student services functions
  • Support My Windows maintenance for Student Services division
Qualifications:

Previous Experience: 
Required: 
  • 2+ years of experience in Direct Customer relations in post-secondary Student Services, Enrollment Services (Registrar/Financial Aid/Admissions) or Student Account Services with verified meets expectations, exceeds expectations, or outstanding performance evaluations
  • Working knowledge of university administrative software systems in STUDENT or Financial modules, preferably in Datatel
  • Demonstrated experience in problem solving/problem resolution
  • Excellent oral, written, interpersonal and quantitative skills, demonstrating ability to communicate effectively with a diverse population, either online, via phone, or in person
  • Demonstrated experience working in a high volume active environment calling for independent, proactive thinking skills
  • Strong desire to be part of a very collaborative team centered environment which emphasizes creativity, out-of-the box thinking
  • Demonstrated knowledge and belief in federal and institutional record privacy regulations (FERPA)
  • Demonstrated understanding of higher education academic policy and procedure requirements
  • Demonstrated ability to maintain a supportive, calm service demeanor when dealing with upset or challenging students/clients
  • Demonstrated knowledge and experience in using an Office suite of products including email, Outlook, Excel, PowerPoint, etc…
Desired Qualifications:
  • Working knowledge of Datatel STUDENT & Financial Aid systems, in the areas of Academic Records, Registration, Degree Audit, Articulation, Admissions, Financial Aid, Student Accounts, Student demographics
  • Ability to effectively and accurately analyze and interpret data
  • Experience in maintenance of student divisions within a comprehensive campus portal
  • Experience in dealing with veterans/military related assistance guidelines
  • Experience in utilization of document imaging systems, online communication systems ('Wimba') scheduling systems;

Knowledge and Education:  Bachelor's Degree

Machines, Tools, Equipment, Electronic Devices and Software:  Administrative software, preferably Datatel (required),Office Suite (required), Image Now (desired),Wimba (desired)
