Responsibilities:

POSITION SUMMARY:
A. Degree Audit: assists in the development and maintenance of all academic programs within the Degree Audit module, assist in the updating of individual student academic programs related to approved waivers and substitutions, assist in the testing and troubleshooting of enhancements and problem issues related to Degree Audit functionality,  assist in final degree processing; assist in commencement processing and proceedings including: development and maintenance of participant eligibility lists, communication with advisors re: updating degree completion fields, development of correspondence related to line-up, procession, recession; all line-up and marching set-up activities, forms, signage; recruitment and training of all staff assisting with these tasks.
B. Articulation: evaluates and interprets student records from other institutions to determine transferability of course work for general education and major requirements where allowed; assists in the maintenance and update of administrative software course equivalency database; obtains course descriptions and college catalogs by web research and contacting other colleges and universities for the purpose of making accurate course matches; evaluates special population transfer credit for CLEP, DSST, AP, IB.
C. General: assist OneStop staff in providing information to students related to academic programs and transfer course articulation; maintain student records in a document imaging system;  Uses administrative software communications management process to communicate with students information related to student programs, transfer work and conferral; communicate with academic departments, admissions, academic advising, & related staff regarding approval of program requirements and transfer coursework. Uses basic queries to streamline work processes. Perform additional duties as assigned and required to support the OneStop and Student Services division.

POSITION DUTIES AND RESPONSIBILITIES:  
Essential functions:  100% of time
  • Development of academic programs in Degree Audit module
  • Updating changes, substitutions, waivers in Degree Audit module
  • Performs quality control in development of academic programs
  • Articulates transfer courses, external tests, military credit into administrative software external courses module
  • Enters individual student transfer coursework into administrative software external courses module
  • Evaluates student transcripts, institution catalogs for institutional eligibility
  • Serves as articulation and program evaluation expert for OneStop service environment
  • Performs degree conferral processing in Degree Audit module
  • Assists division in degree conferral processing requirements
  • Assists division in commencement processing requirements as described above
  • Provides articulation and Program evaluation information & resources to department, division, and campus representatives
  • Serves on committees and performs other duties as assigned

Qualifications:

Special Conditions of Employment:  Bachelor's degree
Previous Experience: 
Required: 
  • 2+ years of experience in Direct Customer relations in post-secondary Student Services, Enrollment Services (Registrar/Financial Aid/Admissions) with verified meets expectations, exceeds expectations, or outstanding performance evaluations
  • Working knowledge of university administrative software systems in STUDENT modules
  • Demonstrated experience in problem solving/problem resolution
  • Excellent oral, written, interpersonal and quantitative skills, demonstrating ability to communicate effectively with a diverse population, either online, via phone, or in person
  • Demonstrated experience working in a high volume active environment calling for independent, proactive thinking skills
  • Strong desire to be part of a very collaborative team centered environment which emphasizes creativity, out-of-the box thinking
  • Demonstrated knowledge and belief in federal and institutional record privacy regulations (FERPA)
  • Demonstrated understanding of higher education academic policy and procedure requirements
  • Demonstrated ability to maintain a supportive, calm service demeanor when dealing with upset or challenging students/clients
  • Demonstrated knowledge and experience in using an Office suite of products including email, Outlook, excel, PowerPoint, etc
Desired Qualifications:
  • 1+ years successful experience in post secondary Degree Audit and/or Articulation divisions with verified meets expectations, exceeds expectations, or outstanding performance evaluations
  • Ability to effectively and accurately analyze and interpret data
  • Experience in maintenance of student divisions within a comprehensive campus portal
  • Demonstrated understanding of academic policy resources, academic program requirements
  • Demonstrated understanding of course equivalency processes, articulation development
  • Experience in utilization of document imaging systems, online communication systems ('WIMBA') scheduling systems
