Responsibilities:

Under general direction the FSS will provide a wide variety of administrative support to include:  Maintain and update class schedule each session for all locations; Prepare classrooms for instruction, and provide general audio-visual support. Prepare classroom room assignments each session; assist in training faculty\staff in computerized programs; generate faculty contracts; assist director with faculty payroll to include the input of instructor pay into datatel and distribute Instructor paychecks; registration functions each session;  process new instructor paperwork/teaching requests; manage booklist, contact Publishers for desk copies each session; attend Education & Advisory meetings; coordinate library support sessions with virtual Librarian; assist Director as needed     

POSITION DUTIES AND RESPONSIBILITIES:   
  • Manage and update schedule each session for all locations; inform all campuses as schedule changes occur; contact instructors as needed
  • Generate and maintain classroom assignments each session
  • Registration functions each session
  • Process all new instructor packets; including teaching request approvals
  • Manage booklists, coordinate and order desk copies each session for both campuses
  • Maintain faculty folders and make adjustments as needed
  • Input faculty pay into datatel; create and process faculty contracts
  • Distribute and track instructor paychecks
  • Generate and process letter to instructors regarding online evaluations, teaching assignments and faculty orientation; coordinates food and beverages for orientation
  • Coordinate Virtual Library presentations with faculty and Lead Librarian
  • Assist in training faculty\staff in computerized programs
  • Oversee and manage all aspects of Reading and Conferences and Independent Study requests
  • Prepare faculty packets for faculty orientation each session; prepare and organize for each faculty meeting
  • Attend Education meetings; compose and distribute education monthly minutes
  • Schedule and send invitations to Advisory Counsel for meetings; compose and distribute advisory minutes; reserves restaurant
  • Answer and screen incoming telephone calls
  • Provides general information to the Chapman community
  • Assist as secondary financial aid advisor/business office as needed
  • Assist with Comprehensive Exams
  • Attend Education Fairs/Recruits
  • Prepare and organize for special events/guests
  • Assist/train co-workers as needed
Qualifications:

Needs valid driver’s license and vehicle to travel to Irvine and other campus locations as needed.  May be required to travel overnight to other campus locations for training purposes.  May be required to maintain a flexible work schedule to accommodate campus needs. 

Previous Experience:
Required: 
  • Minimum two years previous customer service experience
Desired Qualifications:
  • Previous experience working in higher education
  • Knowledge of Brandman University policies and procedures
