Responsibilities:

Under general supervision, the Payroll Specialist is responsible for compiling time reports and payroll data including calculating time worked, overtime, and retroactive adjustment payments.  The primary function of this position includes timely and accurate processing and distribution of administrative, staff, faculty, and student employees’ payroll during multiple pay cycles for Brandman employees.  The Payroll Specialist provides a high level of customer services to administrative, staff, faculty, and student employees (who are located at various campuses and throughout many states) with earnings, deductions, and leave balance inquiries.

POSITION DUTIES AND RESPONSIBILITIES:   
  • Perform daily payroll operations to accurately process and maintain semi-monthly and monthly payrolls for faculty, staff, and student employees while following policy, procedures and compliance with all Federal, State, and Local tax and time collection requirements. 
  • Input changes to payroll deductions prior to payroll calculation deadline.
    Reconcile payroll and validate data through exception reports and make corrections as needed.
  • Communicate effectively both orally and in writing.
  • Perform mathematical calculations quickly and accurately including adding, subtracting, multiplying, and dividing.
  • Maintain accurate and complete records.
  • Interpret and apply laws, rules and regulations related to payroll procedures.
  • Establish and maintain cooperative and effective working relationships with departments.
  • Works closely with Human Resources to ensure accurate and timely processing of all payroll related issues.
  • Work with third party vendor on State tax filings; maintain files.
  • Assists the Director of Payroll with implementation of ERP and the creation of new policies and procedures.
Qualifications:

Previous Experience: 
Required: 
  • A minimum of two years in a payroll or financial record position demonstrating:  knowledge of payroll best practices and relevant HR office procedures and terminology; strong decision-making, problem solving and ability to convert, organize and analyze data into meaningful information; excellent organizational, multi-tasking and prioritizing skills; ability to meet deadlines and work with minimal supervision. 
  • The Payroll Specialist must be able to maintain confidentiality of payroll and personnel data.
Desired Qualifications:
  • Experience with preparing and managing multiple state payrolls.  Experience with Banner or similar ERP system for time entry and payroll processing.  Experience with web based timekeeping systems.
Knowledge and Education: 
  • High School Degree or GED with at least two years of related coursework. 
  • Knowledge of methods, practices and terminology used in payroll and bookkeeping.  Applicable federal, State and local laws, rules and regulations.  Principles and procedures of statistical record-keeping and reporting.  
  • Operation of office equipment including a computer with word and spreadsheet software along with 10 key.
