Responsibilities:

The Manager of Accounts Payable is responsible for coordinating and managing the accounts payable functions of the University.  Primary duties are to assure that the University’s vendors are effectively managed, paid the proper amounts, and that the expenditures are charged to the proper accounts in an accurate and timely manner.

Essential functions:  100% of time
  • Manages the University’s A/P functions and supervises A/P staff
  • Prepares, coordinates and processes weekly vendor check runs. Reviews total check run amounts with the AVCC.
  • Processes Student Refunds weekly working in collaboration with student accounts receivable to ensure accurate and timely distribution.
  • Manages and oversees all Electronic Payables (including ACH) to venders and students.
  • Processes Wire Payments; ensures that appropriate approvals have been made.
  • Processes Sales Tax estimated payments and accruals. Reviews/reconciles estimated to actual and files Sales Tax returns and follows up on subsequent payment adjustments.
  • Reconciles Accounts Payable Accounts (Prepaids, deposits and other A/P accounts)
  • Serves as a resource to and liaison with all university departments, campuses and vendors; provides information and reports relative to accounts payable records, budgets, and expenditures.
  • Assists with special projects as necessary.

Qualifications:

Special Conditions of Employment:  Working conditions are normal for an office environment. Work may require occasional weekend and/or evening work.  Need to be able to work flexible hours particularly given campuses’ extended hours of operation. Applicants for this position are subject to a criminal history and credit review.

Previous Experience: 
  • Required:  A minimum of four years Accounts Payable experience with a minimum of two years in a supervisory role.
  • Desired Qualifications:  Experience with Banner or similar enterprise resource system experience.  High level of moral character and personality to effectively work will with others in a collegial manner across all levels of the University. 
Knowledge and Education: 
  • Required:  Bachelor’s degree in accounting or closely related financial or business field. 
  • Desired Qualifications:  Experience with Higher Education and related higher education ERP system with preference to experience in Banner. 
Machines, Tools, Equipment, Electronic Devices and Software:  PC with Microsoft Office Suite including Outlook, Word, Excel, etc.
